Electronic Form W-2 is available on MyBGSU web portal

Bowling Green State University is required by the IRS to furnish all employees with a Form W-2 for each calendar year to be used in completing the employees' annual tax returns. The Form W-2 details the employee's compensation and tax withholding amounts for the year. In the past, employees have received paper copies of their W-2.

The University will not provide the Form W-2 electronically to an individual who has terminated his/her employment with Bowling Green State University. These individuals will receive paper copies via U.S. mail.

How do I sign up to receive my Forms W-2 electronically?

Log into your MyBGSU account navigate to Employee Self Service > Payroll Information> W-2/W-2c Consent. Read the Disclosure Notice, check the box, and click submit.

Beginning in 2012, in an attempt to deliver W-2's to employees sooner in the new year, we are offering you the service of obtaining your W-2's electronically in place of paper copies. Bowling Green State University employees now have the opportunity to receive their W-2 statements electronically through the MyBGSU web portal. 

Please read this entire Notice and provide your consent to receive all future W-2 statements in an electronic format instead of in paper delivered through the US Mail.

Benefits of Receiving Form W-2 Electronically

There are multiple benefits to receiving an electronic Form W-2:

  • Earlier access to the Form W-2.
  • No possibility an employee's Form W-2 might be lost, stolen, delayed or misplaced by the U.S. mail service or by the employee, once received.
  • Access is available at the same easy-to-use, secure web site at which an employee can access his/her wage and general account information.
  • Access can be attained even if the employee is not presently at his/her residence, for example, if participating in a University foreign program.

Disclosure Notices

An employee who consents to receiving his/her Form W-2 electronically will not receive a paper copy of the W-2. If an employee does not consent, he/she will continue to receive a paper copy of the W-2. Once an employee has signed up, the consent is valid for all subsequent years unless the employee chooses to withdraw consent, or upon termination of employment.

An employee who chooses to receive his/her Form W-2 electronically can also receive a paper copy of the W-2 by contacting the Payroll Office in writing. This may be done via email to: Payroll@bgsu.edu or U.S. Mail to: Payroll Department, Bowling Green State University, 1851 N. Research Dr. Rm 118, Bowling Green, OH, 43403. Request for a paper copy does not withdraw the employee's consent for electronic delivery of future W-2 statements.

An employee may withdraw his/her consent by at anytime. If consent is withdrawn, it will only be effective for any Form W-2's not yet issued.

The University will not provide the Form W-2 electronically to an individual who has terminated his/her employment with Bowling Green State University. These individuals will receive paper copies via U.S. mail.

Employees may continue to make any personal information changes (i.e. address changes) as needed through the MyBGSU self service web portal.

The hardware and software requirements needed to access, print and retain Form W-2 electronically include an internet connection, web browser, and Adobe Acrobat reader.

The electronic version of Form W-2 will be available on the website for 7 years from the original posting date.

The Form W-2 may be required to be printed and attached to a federal, state, or local income tax return.
