HEI Files Submitted to the Ohio Board of Regents
Physical Structure Inventory (PS) File:
The Physical Structure Inventory (PS) file contains one record for all physical structures which meet one of the following criteria: physical structures owned by the institution; physical structures of which a major part (50 percent or more) is leased by the institution; and all physical structures of which a minor part (less than 50 percent) is leased by the institution and for which the institution is responsible for maintenance and has authority to make structural changes. Records for physical structures that are under construction and not expected to be available for use in the autumn term are not to be submitted. Physical Structures which are owned by the institution exclusively for real estate investment purposes and which are not related to any programs of the institution are not to be reported.
This file reflects the status of physical structures as of the 15th day of autumn term.
Submission Schedule: The Physical Structure Inventory (PS) file is submitted for autumn term once per year.
Area Inventory (AI) File:
The Area Inventory (AI) file contains one record for each area in a physical structure reported in the Physical Structure Inventory (PS) file.
Fall term 1998 marked the beginning of production reporting in HEI. Therefore, a complete Area Inventory (AI) file for that year, and each subsequent year, must be submitted.
This file reflects the status of areas as of the 15th day of autumn term.
Submission Schedule: The Area Inventory (AI) file is submitted for autumn term once per year.
Course Section Schedule (CS) File:
The Course Section Schedule (CS) file contains a record for all courses offered for degree credit in a space identified in the Area Inventory (AI) file or in a space that exists in structures of which less than 50 percent is leased by the institution. Submit multiple records for course sections that meet more than once in a day or occupy more than one area. All fields reported in this file except for the Daytime Irregular Weekday Hours, Evening Irregular Weekday Hours, Nighttime Irregular Weekday Hours, and Weekend Irregular Hours fields reflect activity as of the 15th day of the autumn term. Daytime Irregular Weekday Hours, Evening Irregular Weekday Hours, Nighttime Irregular Weekday Hours, and Weekend Irregular Hours fields reflect activity for the entire autumn term.
Submission Schedule: The Course Section Schedule (CS) file is submitted once per year.
Other Use of Instructional Rooms (OR) File:
The Other Use of Instructional Rooms (OR) file is a partial report that reflects utilization for activity that is not part of scheduled degree-credit class time (as reported in the Course Section Schedule (CS) file). Unless the activity is professional level medical instruction, that is not reported in the Course Enrollment (CN) file. A record should be reported for each activity type in any area identified as Area Type code 110 (Classroom) or 210 (Class Laboratory) in the Area Inventory (AI) file. This file reflects activity for the ten week autumn quarter and the fifteen week autumn semester, please do not include hours that are outside these parameters.
Submission Schedule: The Other Use of Instructional Rooms (OR) file is submitted once every other year for odd numbered years.
